The Long And Winding Road To Kissimmee

June 22, 2010 Executive Committee Meeting Minutes

Update on Status of 2011 Summer Conference

Tom Ramey updated the Executive Committee on the status of the 2011 Summer Conference following the CBB Executive Committee’s decision to not meet with NCBA in Washington, DC for Summer Conference 2011 because of the extra costs to the checkoff and that CBB staff should be included with NCBA staff in any future negotiations regarding the 2011 summer conference.

Charlotte Coates, Operations Manager, reported that neither she nor CBB CFO Katherine Ayers had been involved in any discussions to date with NCBA and the Gaylord Properties. She reported that she sent an email to Thad Larson, Associate Director of Meetings, NCBA, requesting a status report and Mr. Larson stated that Forrest Roberts wanted to set up a meeting with Mr. Ramey to discuss the options NCBA staff already received from the Gaylord Properties.

2011-2013 Summer Conferences

Tom Ramey updated the Executive Committee on the status of the 2011 Summer Conference following the CBB Executive Committee’s decision to not meet with NCBA in Washington, DC for Summer Conference 2011 because of the extra costs to the checkoff.  He also reminded the Executive Committee that during its May 20, 2010 meeting, the Executive Committee requested that NCBA include CBB staff in any future negotiations or discussions regarding the 2011 summer conference.

Mr. Ramey stated that CBB staff had not been engaged with NCBA staff in any negotiations with the Gaylord properties even though NCBA had been requested to include CBB staff.

Katherine Ayers presented potential options for CBB’s involvement with NCBA at the 2011- 2013 summer meetings. After discussing summer 2011-2013 options, the following motion was made:

Virginia Coelho moved and Virginia Davis seconded to not participate in NCBA’s planned summer meetings at Gaylord properties in 2011-2013 and will not be bound by NCBA’s contract with the Gaylord properties. Discussion. Motion passed.

July 20, 2010 Executive Committee Conference Call Minutes

2011-2013 Summer Conferences

Tom Ramey updated the Executive Committee on the status of the 2011-2013 Summer Conferences following the CBB Executive Committee’s decision to not participate in NCBA’s planned summer meetings at Gaylord properties in 2011-2013 because of the extra costs to the checkoff. Mr. Ramey reported he notified Forrest Roberts, NCBA’s CEO, of the Executive Committee’s decision. Mr. Ramey reported additional information on the cancellation penalties for each year.

Chairman Tom Jones asked the Committee if it wished to revisit the decision it made on July 9, 2010. The Committee chose not revisit its decision.

Other Business

Executive Committee Chairman Tom Jones introduced Marvin Kokes and Thad Larson, NCBA staff, who provided the dates and locations for future winter meetings.

The dates and locations are: February 2-5, 2011, in Denver, CO; February 1-4, 2012, in Nashville, TN; February 6-9, 2013, in Tampa, FL; January 29-February 1, 2014, in Phoenix, AZ, and February 4-7, in San Antonio, TX. Mr. Larson asked the committee if the Beef Board planned to continue to meet with NCBA for winter meetings.

Dan Dierschke moved and Hank Maxey seconded a directive to staff that all joint meetings be agreed upon by NCBA and CBB in regards to site selection as well as all major negotiation areas within these meetings. Discussion. Motion passed.

The Executive Committee expressed concerns about having future winter meetings in Denver and strongly suggested meeting in warm locations for all winter meetings.

September 21, 2010 Executive Committee Meeting Minutes

Summer Meeting Locations/Dates

Executive Committee Chairman Tom Jones introduced Thad Larson, NCBA staff, who provided the dates and locations for future meetings.

The dates and locations are: February 2-5, 2011, in Denver, CO; February 1-4, 2012, in Nashville, TN; February 6-9, 2013, in Tampa, FL; and the 2011 summer conference will be August 1-4 in Orlando, FL.

Mr. Larson indicated that Nashville, TN was being considered for the 2014 winter meeting and San Diego, CA was being considered for the 2016 winter meeting.

Kristy Lage moved and Hank Maxey seconded a directive to staff to proceed with pursuing negotiations with Nashville, TN for the 2014 winter convention and with San Diego, CA for the 2016 winter convention. Discussion. Motion passed.

Status of Annual Convention and Summer Conference Locations

Charlotte Coates, CBB Operations Manager, updated the committee on the upcoming meeting dates and locations for annual convention and summer conference:

Summer Conference:

August 1-4, 2011 – Orlando, FL

July 25-28, 2012 – Denver, CO

August 7-10, 2013 – Denver, CO

Winter Convention:

February 1-4, 2012 – Nashville, TN

February 6-9, 2013 – Tampa, FL

February 4-7, 2014 – Nashville, TN

February 4-7, 2015 – San Antonio, TX
